For the purposes of UK data protection law, United Global Capital Ltd is the controller of personal information processed for our business activities, except where another organisation acts as an independent controller.

This policy explains how we collect, use, share and retain personal information when you visit our website, purchase products, subscribe to marketing or contact us.

For privacy enquiries or to exercise your rights, email shop@myboots.co.uk.

2. Personal information we collect

Depending on how you interact with us, we may collect:

  • Contact information: your name, email address, telephone number, billing address and delivery address.
  • Order and transaction information: products purchased, order history, payment status, delivery details, returns, refunds and exchanges.
  • Payment information: information needed to process your payment. Payment providers process your payment credentials; the information available to us depends on the payment method and provider.
  • Account information: information associated with your customer account, preferences and settings.
  • Communications: enquiries, customer-service correspondence, reviews and information you provide when contacting us.
  • Device and website information: IP address, browser and device information, pages viewed, interactions with our website and information collected through cookies or similar technologies.
  • Marketing information: subscription preferences, consent records and interactions with our marketing communications.

If you provide another person’s details, such as a gift recipient’s delivery information, please ensure you are entitled to do so and make this policy available to them.

3. Where information comes from

We collect information:

  • Directly from you when you place an order, subscribe, contact us or use your customer account.
  • Automatically when you interact with our website or communications, subject to applicable consent requirements.
  • From providers supporting our store, payments, fulfilment, delivery, marketing and website services.
  • From advertising and other business partners where permitted by law.

4. How we use information and our lawful bases

We use personal information for the following purposes:

Orders and customer service

To process payments, fulfil and deliver orders, manage returns and exchanges, administer customer accounts and respond to enquiries.

Our lawful basis is performance of our contract with you, or taking steps at your request before entering into a contract. Where an enquiry is outside a contractual relationship, we may rely on our legitimate interest in providing customer support.

Business operations and security

To operate our store, maintain records, prevent fraud, protect our systems and investigate misuse.

We rely on our legitimate interests in running and protecting our business, where those interests are not overridden by your rights, or on legal obligations where applicable.

Website improvement and analytics

To understand how visitors use our website and improve its usability and performance.

We rely on consent where required for cookies or similar technologies. For other processing, we may rely on our legitimate interest in improving our services where lawful.

Marketing and advertising

To send marketing communications, measure campaign performance and show relevant advertising.

We rely on consent where required. Where the law permits marketing without consent, we may rely on legitimate interests, subject to applicable electronic-marketing rules and your right to opt out. Legitimate interests do not replace consent where consent is legally required.

Legal requirements and disputes

To meet accounting, tax and other legal obligations, respond to lawful requests and establish, exercise or defend legal claims.

We rely on legal obligations or our legitimate interests in protecting our legal rights, as applicable.

Where information is necessary to process your order, failing to provide it may prevent us from completing your purchase or delivering the products.

5. Who we share information with

Where necessary for the purposes described above, we share information with:

  • Shopify, which hosts and supports our online store.
  • Payment providers, which process payments and support fraud prevention.
  • Fyncon Ltd, our fulfilment provider, and relevant delivery partners, which support storage, order fulfilment, dispatch, delivery and returns.
  • Klaviyo, which supports our marketing subscriptions and communications.
  • Microsoft, through Microsoft Clarity, as explained below.
  • Providers supporting customer service, reviews, website operation, analytics and advertising.
  • Professional advisers, including accountants and legal advisers.
  • Authorities or other organisations where disclosure is required by law or necessary to protect legal rights.
  • Parties involved in a business sale, restructuring or similar transaction, subject to appropriate protections.

Providers may process information on our behalf or act as independent controllers for particular activities. We do not sell customer contact lists for third parties’ own direct marketing.

6. Shopify and enhanced services

Our website is hosted by Shopify. Shopify processes personal information to operate, support and improve the store.

We also use Shopify Network Intelligence and associated enhanced services. These services may use information from your interactions with our store, other merchants and Shopify to support features such as fraud prevention, personalisation and advertising.

Information may be shared with Shopify and relevant third parties outside your country. Shopify acts as an independent controller for certain enhanced-service activities and handles rights requests relating to those activities.

For more information, see the Shopify Consumer Privacy Policy.

You can learn about Shopify’s privacy controls and exercise relevant rights through the Shopify Privacy Portal.

7. Cookies, analytics and Microsoft Clarity

Our website uses cookies and similar technologies for essential functions, preferences, analytics and advertising.

Essential technologies support functions such as shopping baskets, checkout and security. Non-essential technologies require consent where applicable law requires it.

We use Microsoft Clarity to understand website interactions through features such as heatmaps and session recordings. This helps us identify usability issues and improve the shopping experience.

Clarity may collect interaction and device information, including clicks, scrolling, navigation, browser details and identifiers. Microsoft may also process this information for its own purposes, including advertising, as described in the Microsoft Privacy Statement.

Where consent is required, you can accept or reject non-essential technologies through the website’s cookie controls and withdraw consent through the available privacy controls.

You can also manage cookies in your browser. Blocking essential cookies may affect the website’s functionality.

8. Marketing communications

We use Klaviyo to manage marketing subscriptions and communications.

We currently send email marketing. If we offer SMS or WhatsApp marketing, we will send it only where you have subscribed or otherwise given the permission required by law.

You can unsubscribe from email marketing using the link in our emails. For SMS or WhatsApp marketing, follow the opt-out instructions provided in the message or contact us.

Unsubscribing from marketing does not prevent us from sending necessary, non-promotional communications about your orders, returns or customer-service enquiries.

9. Advertising and privacy choices

We may share website interaction information with advertising partners to measure advertising performance and show relevant advertisements, subject to applicable consent and opt-out requirements.

Depending on where you live, these activities may be treated as the “sale” or “sharing” of personal information, or targeted advertising, under local privacy laws.

Where applicable, you can exercise your opt-out rights through our Your Privacy Choices page or by contacting us.

Where supported by Shopify and required by applicable law, Global Privacy Control signals are used to communicate relevant opt-out preferences for the browser or device sending the signal.

10. International processing

Our providers may store or process personal information outside the United Kingdom or your country of residence.

For transfers subject to UK data protection restrictions, the applicable protection must be provided through an adequacy decision, approved contractual safeguards or another lawful transfer mechanism.

You can contact us for information about the safeguards relevant to your personal information and, where applicable, how to obtain a copy.

11. How long we keep your information

We retain personal information only for as long as necessary for the purposes described in this policy, taking account of our relationship with you and applicable legal requirements.

We generally retain accounting records, including relevant sales and transaction records, for six years from the end of the company financial year they relate to. Certain records may need to be kept longer where required by law.

Other customer information is retained where necessary to fulfil orders, manage returns and refunds, provide customer support, prevent fraud or resolve disputes.

Marketing information is retained while needed for our lawful marketing activities. If you unsubscribe, we stop sending marketing through that channel. We may retain limited contact details and preference records to ensure that we respect your decision. Unsubscribing does not automatically delete records needed for other lawful purposes.

We periodically review retained information and delete or anonymise information that is no longer needed, subject to applicable legal requirements.

You can contact us to request deletion of your personal information. Where we must retain certain records, we will explain why.

12. Security

We use appropriate technical and organisational measures to protect personal information against unauthorised access, loss, misuse or disclosure.

No website, transmission method or storage system is completely secure. Please avoid sending full payment-card details or other unnecessary sensitive information in customer-service messages.

13. Your rights

Depending on your location and the circumstances, you may have the right to:

  • Access your personal information.
  • Correct inaccurate or incomplete information.
  • Request deletion of information.
  • Restrict certain processing.
  • Receive certain information in a portable format.
  • Object to processing based on legitimate interests.
  • Object to direct marketing.
  • Withdraw consent where processing relies on consent.

Withdrawing consent does not affect the lawfulness of processing carried out before withdrawal.

Some rights are subject to legal exceptions. For example, we may need to retain records to meet legal obligations or handle legal claims.

To exercise your rights, email shop@myboots.co.uk. We may request information reasonably necessary to verify your identity.

We respond within the timescales required by applicable law—normally within one month for UK data-protection requests. Where a lawful extension applies, we will explain it.

Where applicable law allows, you may appoint an authorised representative to act for you. We will not discriminate against you for exercising your privacy rights.

14. Children

Our store is intended for adult shoppers, and we do not knowingly collect children’s personal information for marketing purposes.

If you believe a child has provided personal information inappropriately, contact us so we can investigate and take appropriate action.

15. Third-party websites

Our website may contain links to other websites or services. Their privacy practices are governed by their own policies, which you should review before providing information.

16. Complaints

If you have concerns about our use of personal information, please contact us at shop@myboots.co.uk.

You also have the right to complain to the UK Information Commissioner’s Office:

www.ico.org.uk/make-a-complaint

If you live outside the UK, you may also have the right to contact your local data-protection authority.

Where applicable law provides a right to appeal our response to a privacy request, contact us using the details below.

17. Changes to this policy

We may update this policy to reflect changes in our services, practices or legal requirements.

We will publish the revised version here, update the “Last updated” date and provide additional notice where required by law.
